Privacy Policy

1. Introduction

This Privacy Policy describes how BuiltByTerra ("we", "us", "our") collects, uses, and stores information when you use our Discord applications ("Services"). We are committed to handling your data responsibly and transparently.

2. Data We Collect

We collect only the data necessary to provide each application. Our applications serve different purposes and collect different data as a result — see each application's own privacy policy for the full, current list:

• Tickit Privacy Policy — server configuration, ticket and staff data, and in-ticket message content.
• Coinly Privacy Policy — server configuration, economy balances, transaction records, and shop purchases.
• Giftly Privacy Policy — server configuration, giveaway definitions, and the user ids of hosts, entrants, and winners.
• Suggestit Privacy Policy — server configuration, suggestion text members submit, and the user ids of authors, voters, and staff.
• Rankit Privacy Policy — server configuration, per-member XP and levels, and reward role ids.
• Voiceit Privacy Policy — server configuration, hub settings, and short-lived records for live temporary rooms.
• Greetit Privacy Policy — server configuration, welcome and goodbye card settings, autoroles, and role menus.
• quoteit Privacy Policy — one setting per server — the channel quote cards are posted to.

Across all of our applications: we collect only the Discord IDs and operational data needed to function, we never access voice audio, and we never store message content outside the specific, narrow cases described in each application's own policy.

3. How We Use Data

Collected data is used solely to:

• Operate and deliver the features of the Services.
• Store per-server configuration so settings persist across bot restarts.
• Generate and deliver ticket transcripts to the appropriate channels and users (Tickit).
• Maintain per-server state that a feature depends on — economy balances, XP totals, giveaway entries, suggestion votes, and room ownership.
• Enforce the limits and permissions server administrators configure.
• Record short-lived error diagnostics so faults can be found and fixed. These are deleted automatically after 30 days.

We do not sell, share, or disclose your data to third parties for marketing or advertising purposes.

4. Data Storage and Security

Data is stored in a PostgreSQL database. We take reasonable technical measures to protect stored data from unauthorized access, including encrypted database connections (SSL/TLS). However, no system is completely secure, and we cannot guarantee absolute security.

5. Data Retention

Server configuration and operational data is retained while an application remains in your server. Each application automatically and permanently deletes all of a server's data 7 days after that application is removed, unless it is re-added within that window. You may also request immediate deletion of your data at any time by contacting us (see Section 8). See each application's own privacy policy, linked above, for retention details specific to the data it stores.

6. Third-Party Services

Our Services operate within the Discord platform and are subject to Discord's Privacy Policy. We do not integrate with any other third-party data processors beyond the database provider used to store operational data.

7. Children's Privacy

Our Services are not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with data, please contact us so we can remove it.

8. Your Rights and Data Requests

You may request access to, correction of, or deletion of your data at any time by contacting us. For server administrators, this includes all data associated with your guild ID.

To submit a data request, join our Discord community and open a support ticket with your Discord server ID or user ID.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Continued use of the Services after changes constitutes your acceptance of the revised policy.
